Authoring Feature Redesign

Role:

UI/UX Designer (Contract)

Period

8 months

Team:

Product Owners, BA’s, Developers, Designers

Context

EY Catalyst Smart Deployment is an end-to-end solution made up of two cloud-based applications that help organizations develop, manage, and deploy work system content at scale.

The Authoring feature is the core of this system. It allows users to create, edit, and organize operational content that drives deployment across the business.

Why the feature was needed

Before this, users had no way to make bulk updates across complex process documents. This caused:

  • Manual workarounds
  • Errors during updates
  • Low confidence in the platform for editing at scale

The team needed a solution that was fast, intuitive, and safe.

Context

EY Catalyst builds tools that help large organisations improve internal operations. We designed a new Find & Replace feature for EY Catalyst’s enterprise process tools. The goal was to help users update large documents quickly and safely without disrupting their workflow or adding technical friction.

Challenge

The existing Authoring experience was complex and difficult to navigate. Users struggled to manage large volumes of content, and the interface limited scalability as new functionality was added.

Our goal was to simplify the process, improve usability, and create a more intuitive, cohesive design that could grow with the platform.

Outcome

  • Streamlined the Authoring process for both new and advanced users
  • Improved content creation speed and accuracy
  • Delivered a unified interface that supports ongoing feature growth

Rebuilding the Authoring Journey

Old interface: cluttered navigation and unclear hierarchy

New design: simplified structure and focused workflows

Process

  1. Discovery and Collaboration

Partnered with the product team to review existing user flows, identify friction points, and define the new information architecture.

  1. Design and Prototyping

Created low- and high-fidelity prototypes covering the full Authoring flow — from content creation to publishing.

Introduced a modular layout system for consistency and future scalability.

  1. Testing and Iteration

Worked closely with developers to validate edge cases and ensure technical feasibility. Iterated through multiple rounds of internal testing to refine the experience before full rollout.

What I Learned

  • How to design within a large, enterprise-level system while balancing UX needs with technical constraints
  • The importance of collaboration between product owners, BA’s, and developers to reach shared clarity early
  • How scalable design patterns can reduce rework and support long-term feature growth
  • The value of clear documentation and consistent communication across sprints
  • That simplicity in design often comes from deep understanding of complex workflows
  • The impact of testing early, iterating often, and validating design decisions with real use cases

Final UI

The final design is focused, simple, and scalable.Users can quickly find terms, preview replacements, and confirm changes all within their current workspace.

Outcome

  • Solved a real user pain point with a lightweight, scalable solution
  • Fit into existing systems without needing major workflow changes
  • Reduced manual errors and improved editing efficiency
  • Designed to support future updates like advanced search logic
